VETERINARY TEAM UTILIZATION GUIDE

Chapter 6: Operational Efficiencies

Systems That Enhance Efficiency

Implementing effective systems can significantly enhance efficiency in a veterinary practice. These systems streamline operations, reduce errors, and improve workflow, resulting in better patient care, increased client satisfaction, and a more productive team. These tools also allow team members to focus more specifically on the client and patient needs versus time-consuming processes that negatively impact the client (and team member) experience. Put technology in place to allow the team to work smarter, not harder, to achieve practice goals.

Below are examples of systems that boost efficiency:

1. Veterinary Practice Management Software (PMS)

  • Centralizes scheduling, medical records, billing, and inventory management.

  • Features:

  • Appointment booking and reminders

    • Digital medical records with SOAP templates

    • Integration with diagnostic tools (e.g., lab or radiology results)

    • Two-way text messaging with clients

    • Cloud-based PIMs tend to further efficiency with the integration of third-party vendors. Server-based PIMs have limited integrations.

2. Online Appointment and Reminder Systems

  • Allow clients to book appointments online, reducing administrative workload by up to 60%.

  • Automate reminders for vaccinations, wellness exams, or follow-ups and deliver via text message, email, or limited postcards for those without email addresses and cell phones for text delivery.

3. Inventory Management Systems

  • Track stock levels and automate the reordering of supplies and medications.

  • Prevent overstocking or running out of critical items.

  • See Chapter 9 for more tips on Inventory Efficiencies.

4. Digital Communication Platforms

  • Enable efficient client communication through email, SMS, or apps.

  • Share invoices, treatment plans, and patient updates electronically.

  • Collect payments electronically, reducing the workload on the receptionist team.

5. Workflow and Task Management Systems

  • Assign tasks and monitor progress to avoid missed steps or overlaps.

  • Use checklists or tools like Trello, Asana, or PMS-integrated task managers for the organization.

6. Telemedicine Platforms

  • Facilitate virtual consultations for triage, behavioral cases, nutritional consults, follow-ups, or minor cases.

  • Save time and improve accessibility for clients.

7. Automated Billing and Payment Systems

  • Streamline invoicing and payment processing with integrated systems.

  • Offer payment plans or financing options to reduce financial barriers.

  • Examples: CareCredit, Scratchpay, or PMS billing features.

8. Equipment Integration Systems

  • Connect diagnostic equipment (e.g., X-ray, lab analyzers) directly to the PMS.

  • Automates data entry, reducing errors and saving time.

9. Client Portals

  • Allow clients to update patient information, review medical history, access test results online, and print proof of vaccinations.

  • Reduces administrative workload and improves client engagement.

10. Standard Operating Procedures (SOPs)

  • Document workflows for routine tasks (e.g., cleaning protocols, appointment check-ins).

  • Ensure consistency, reduce errors, and save training time.

11. Data Analytics and Reporting Systems

  • Track metrics like client retention, revenue, and appointment volume. Use tools such as process mapping to help identify areas for improvement and optimize operations (see Resources below).

  • Built into many PMS platforms.

12. Staff Collaboration Tools

  • Use messaging or communication platforms for team updates and coordination.

  • Examples: Slack, Microsoft Teams, or built-in PMS messaging features.

By integrating these systems into a veterinary practice, teams can work smarter, reduce stress, and focus on providing excellent patient and client care.

Did you know

78% of practice team members indicate that their PMS is not used to its fullest potential. Additionally, 85% report that the various platforms and applications used in their practices do not integrate with the PMS, resulting in compromised workflow, missed charges, and human error.
